Discussion Topics, Tasks, Needs, & Notes

Capture topics, assign tasks, follow needs, and keep notes.

For: All leaders

These four tools keep the week-to-week work of leadership organized.

Discussion Topics

When someone raises an idea during the week, add it as a discussion topic. Mark it as Proposed, Scheduled, Discussed, or Tabled.

Scheduled

Discussion topics are added to the meeting agenda.

Tasks

Tasks turn agenda decisions into action. Assign an owner, set a due date, and choose a priority. Status options are Todo, In Progress, Done, and Cancelled. Completed tasks stay in the history so you can look back later.

Tasks
Reserve cultural hall
High
Bishop Thomas Hartwell · Due Aug 8
Follow up with new move-ins
Sister Rachel Chen · In Progress

Tasks show owner, status, due date, and priority.

Needs

Needs are for ministering follow-up that requires coordination. Record who has the need, the status (Open, In Progress, Resolved, Closed), and the urgency. Keep the description general and avoid sensitive details.

Notes

Notes are a simple scratchpad for anything that does not fit elsewhere. Add an optional reminder so the note comes back at the right time. You can archive old notes or delete them with a confirmation warning.

Best practices

  • -Capture topics and tasks as soon as they come up so nothing is lost.
  • -Assign one owner per task, even if multiple people help.
  • -Close needs and tasks when they are done so the dashboard stays up-to-date.
